MICROSOFT 365: Sharing & Collaborating On Files

Admittedly sharing and collaborating on files in Microsoft 365 works a bit differently than the Google Suite of Apps.

Here are a few of my favorite tips/tricks/warnings that I hope you will find useful going forward.

Uploading eMail Attachments to OneDrive

Sure you can send a locally saved file as an attachment to an email message if you just need to share a copy for information only. If you need to share a file to collaborate, you’ll want to take advantage of this option.

  • Create a new email message or open a message to which you intend to reply.
  • Add attachment using the paper clip icon on the menu bar.
    • Search for your file using the Browse this computer option and select the file, click Open.
  • Either drop down the arrow next to the file name to choose upload and share or click the Upload to OneDrive.
  • Click Send.
  • FILE IS AUTOMATICALLY UPLOADED TO ONEDRIVE AND SHARED TO RECIPIENTS OF THE MESSAGE. NOTE: At any time you can manage access to your file in OneDrive.

Moving Files and Folders

Let’s say you have a file with notes about a new project. As you begin to bring others into the project, you share the file but it is still stored on your personal folders. As the project builds momentum, you decide to move the files to a more public location (TEAMs Channel, SharePoint.) Know that you will need to check the box that says share with the same people AND you will need to let collaborators know that you have moved the file – any prior shared links will no longer worked.

Creating Files in a Teams Channel

If you have created a Teams Channel and uploaded or created files within, those files will be shared automatically with the members of the Team (but not automatically with external guests – they will need to be shared to the file manually.)
